What type of information we have
We will hold the following information:
- Personal identifiers, contacts and characteristics (for example, name and contact details)
- Financial data (accounts, transfers)
- Detail relating to personal profiles/skills/development planning of those to whom we provide our services
- Detail relating to the contact we have with you (eg the services we have provided, correspondence/communication
- with you)
- Information on any complaints/enquiries you make to us
- Information from others (such as your employer who may have contracted for our services on your behalf)
- Personal recommendations from clients to support out marketing activity
How we get the information and why we have it
The personal information we obtain is provided to us typically when you
- Seek information/a proposal from us
- You engage us to provide our services – and during that engagement
- You contact us (eg by telephone, email etc)
or from third parties (eg your employer).
Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:
(a) Your consent. You are able to remove your consent at any time. You can do this by contacting us as indicated at the top of this notice
(b) We have a contractual obligation.
(c) We have a legal obligation.
(f) We have a legitimate interest.
What we do with the information we have
We use the information that you have given us in order to support and process the contracts and associated payments and services we have with you. This information will be held in a client database, our electronic email system and our accounting system.
We may share:
- Contact data electronically with other companies who provide technical services to support the operation of our contracts (eg to run and process questionnaires). Currently, these are MBTIUK and Human Synergistics.
- Basic identifying data with those appointed to manage, assure and audit our accounts (to be confirmed)
- As required, to share information with the relevant UK government authorities (eg for tax or other legal purposes)
How we store your information
Storage
For each client, we hold an electronic file containing contract, financial, contact and data relating to the services we have agreed to provide. The file will include the data of initial and latest contacts with a client. Contact data will also be copied into our electronic mailing system. Contact and financial data will also be held in our accounting system.
Retention, review and disposal
We will only hold data relating to you for as long as is required to fulfil the purposes for which they were collected.
It is in the nature of the services we offer that dealings with clients are likely to be intermittent over an extended period of time. We shall therefore review with the relevant clients any contact that has been dormant for a period of two years.
Where you expressly request continuation and give consent, we shall continue to hold data for a further two years before review
Otherwise, we shall delete contact details from our electronic mailing system. We shall also redact the client file to core contact/financial details and a summary of services provided.
To ensure we can satisfy HMRC requirements, client contact, contract and financial data will be retained for a period of 7 years after the end of the financial year in which we last had contact/performed services for the client.
Your data protection rights
Under data protection law, you have rights including:
- Your right of access - You have the right to ask us for copies of your personal information.
- Your right to rectification - You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
- Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
- Your right to restriction of processing - You have the right to ask us to restrict the processing of your information in certain circumstances.
- Your right to object to processing - You have the the right to object to the processing of your personal data in certain circumstances.
- Your right to data portability - You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
